What We Evaluate

Pricing Transparency

We look at whether pricing is publicly listed, how costs scale with seat count, and whether common features are locked behind expensive tiers. Hidden fees, mandatory annual contracts, and bait-and-switch upgrade flows are all flagged in our reviews.

Ease of Use

We consider how quickly a new user can get productive: onboarding flow, default configuration, quality of in-app guidance, and how much setup is required before the tool becomes useful. A CRM that takes six months to configure is not a good fit for most small teams.

Feature Depth

We compare core CRM capabilities — contact management, pipeline tracking, task and activity logging, reporting, and automation — against the needs of different team sizes and business types. We note which features are genuinely useful and which are present on the feature list but difficult to use in practice.

Integration Ecosystem

We check native integrations with common tools (email, calendar, accounting, marketing), the quality of the API for custom work, and whether integrations require expensive third-party middleware. A large integration count means little if the connections are fragile or poorly documented.

Customer Support Quality

We review what support options are available at each pricing tier (chat, email, phone, dedicated manager), documented response time commitments, and the quality of help documentation and community resources.

Mobile Experience

We evaluate the iOS and Android apps separately from the desktop product. Many CRMs have a capable web app but a limited or outdated mobile version. We flag significant gaps.

Our Rating Scale

Each CRM receives an overall score from 1 to 5, as well as individual scores per category. Here is what each level means:

Score What it means
5 / 5 Excellent across the board. Suitable for most teams in this category without major compromises.
4 / 5 Strong option with minor gaps. Worth shortlisting; check the noted limitations before committing.
3 / 5 Adequate. May suit a specific niche or budget but has meaningful limitations for general use.
2 / 5 Below average. Significant usability, feature, or value problems that affect most users.
1 / 5 Poor. We do not recommend this product for the use case described.

How Scores Are Weighted

Scores are not generated algorithmically from a formula. Our editorial team reaches a considered judgment for each product based on direct evaluation and user research. We do not use vendor-provided benchmarks or accept sponsored placement in our rankings.

When a product changes — new pricing, a major feature release, a significant regression — we update the relevant review. We do a full audit of all ratings and content on a quarterly basis to catch anything that has drifted out of date.

Data Update Cadence

We update our data quarterly. Each quarter we re-verify pricing pages, check for product changelog announcements, and update ratings where warranted. Major changes (pricing hikes, product acquisitions, new plan tiers) are reflected as soon as we confirm them.
